Challenge: Key Control and Liability

City of Orlando’s Public Works Department “proactively identifies innovative solutions for creating a sustainable city for future generations through the planning, design, construction, maintenance and operation of public infrastructure.” Citizens of Orlando and surrounding areas benefit from the services provided by the city’s Public Works Department. The department consists of various groups that share an assortment of responsibilities. Orlando’s Public Works Department encountered a security concern when they realized they had no control over the keys securing hundreds of locks throughout the city. Not only was tracking the keys in circulation a difficult task, they also struggled to grant access to people or limit access to those who had keys. Following an internet search and a discussion with a local security provider, City of Orlando decided to install CyberLock, an electronic access control solution that helped manage their security concerns.

Solution: CyberLock

City of Orlando installed CyberLock electronic cylinders on over 400 locks throughout the city, securing everything from server rooms to vehicle tool-boxes. Because CyberLock electronic cylinders were installed in place of the existing mechanical cylinders, the transition was quick and seamless. The CyberLock system allows the City of Orlando to distribute CyberKey smart keys to individuals who require access to department assets. The City of Orlando has over 250 CyberKey smart keys in circulation. Each key is programmed with access permissions as well as expiration dates, allowing the City of Orlando to easily control access to department assets and eliminate concerns related to lost or stolen keys. Employees can access the locks assigned to their key during specifically scheduled times. Every time a CyberKey touches a CyberLock an audit trail is recorded in both the lock and the key, which allows City of Orlando to track who accessed certain areas. According to Aaron Green, a Water Reclamation Division Data Analyst for City of Orlando, CyberLock “Created confidence in access to all of our locations. It provides easy access to those who need it and quickly denies access to those who do not.”
